Hygiene Fleet Privacy Policy
This policy explains the account, fleet, mobile-app, and provider data processed to deliver Hygiene Fleet.
Who controls the data
The customer organization controls the fleet records its authorized users enter or transmit. Hygiene Fleet processes those records to provide, secure, support, and audit the service.
Account, identity, and installation data
We process names, business email addresses, user IDs, roles, tenant memberships, preferred language, security events, and subscription state. The mobile app creates an installation ID for secure sign-in. When push notifications are enabled, it also registers the Firebase installation identifier, FCM token, platform, locale, and delivery metadata.
Vehicle photos and user content
Authorized users may choose vehicle photos for identification, inspection, and maintenance records. The mobile picker provides only the selected photo. We also process vehicle details, compliance records, company and team details, maintenance requests, work orders, notes, costs, labels, and audit history entered by authorized users.
Tracker and fleet-asset location data
When a tracker is configured, we process its serial number, IMEI, assigned SIM card, telemetry timestamps, tracker coordinates, speed, heading, ignition and seat-belt state, and device health data. These coordinates describe a fleet asset. The mobile app does not request or collect the phone or tablet user's location.
Google Maps and Firebase processing
Google Maps Platform may process the map viewport and tracker coordinates displayed on the map, a device identifier, app interactions, crash data, performance data, and diagnostics to render and maintain the map. Firebase Cloud Messaging processes installation identifiers, the FCM token, notification metadata, and diagnostics to deliver operational notifications. We do not use this data for advertising or cross-app tracking.
Fleet AI and Gemini processing
When an answer requires Gemini, we send the user's question, selected language, an initial database-grounded result, and only the tenant-scoped query results needed to answer the question. Questions and answers entered through the Fleet admin assistant are stored in the tenant's conversation history. Mobile API questions are processed to return the answer and are not added to that portal history. Gemini processing is used only to provide the requested fleet answer.
Purposes and tracking
We process data for account management, fleet operations, maps, notifications, maintenance, security, fraud prevention, service support, reliability, and limited service analytics. We do not sell personal data, show advertising, or track users across other companies' apps or websites.
Retention and deletion
Account, tenant content, audit records, and Fleet AI history are retained while the customer account is active and as required for service, security, legal, accounting, or contractual duties. A vehicle photo remains until an authorized user removes it or the related vehicle or tenant data is deleted. Active FCM tokens are revoked on logout or replacement. Verified deletion requests are completed from active systems within 30 days unless a retention duty applies; protected backups expire according to the backup schedule. Provider diagnostic retention follows the applicable provider configuration and terms.
Processors, cross-border transfers, and security
Google Maps Platform, Firebase, and Gemini may process service data on Google infrastructure outside Qatar. We limit transfers to the selected service purpose, encrypt data in transit, isolate tenant records, and restrict access by role. Other hosting and support processors receive only the access needed to operate the service.
Your choices and rights
You can decline notifications, avoid selecting vehicle photos, and stop using Fleet AI. Contact support@hygienetech.tech to request access, correction, export, or deletion, subject to identity verification and applicable retention duties.
